Thank you for choosing to hold your event at Flinders University Victoria Square. Please ensure you have read and understood the following information and guidelines. When confirming a booking you agree to the following.
Levels 1, 2, 6, 10 and 11 are equipped with kitchen facilities, including fridge, microwave, instant boiling and chilled filtered water. Crockery and utensils are not provided and cooking is not permitted on site.
Due to COVID-19 no external bookings will be accepted for 2020.
Wireless internet access is available for Flinders staff and students by connecting to ‘eduroam’ (FAN and password required).

It is the responsibility of the event organiser to organise any catering including tea and coffee service. Where caterers are providing onsite services such as the service of food and hot beverages, it is the responsibility of the event organiser to ensure the caterer is registered (they have the required insurance etc) and has undertaken a local induction prior to the provision of service.

Non-registered caterers will be restricted to drop off and pick-up service only.
It is the responsibility of the event organiser to ensure all catering and equipment is removed from room(s) at conclusion of your booking to ensure the room is ready for the next user.
The caterer is responsible for ensuring all items are collected on the day of the booking. If this is not possible i.e. their business closes before the event finishes, items are to be collected the next morning. Please note: Caterers are responsible for any of their equipment not been collected.
Cooking on-site is not permitted.
Please note: catering is not permitted in Room 1。

If you wish to serve alcohol at your event you will be required to adhere to Flinders University by-laws governed by the Liquor Licensing Act 1997 (SA). Please contact us for more information. To serve alcohol on site you will be required to complete an application for a Limited Licence through Consumer and Business Services
If you are serving alcohol, please complete the University Liquor Permit Application (PDF) and upload into Service One for approval.
It is the organiser’s responsibility to ensure that the correct permit is in place.
Please note that Property, Facilities and Development will send a copy of approved permit to Victoria Square Security.
The building is accessible between 8.00am to 6.00pm Monday to Friday.
All Flinders University floors (levels 1, 2, 6, 10 & 11) are open from 8.00am to 9.00pm. For access outside these hours, including weekends, please contact us for more information. Note: this may be subject to an additional fee for security. More information about building access.
The building is accessible via swipe card (from Victoria Square side entrance) between 6.00am to 9.15pm. To arrange access on your staff ID card please submit a Service One request.
Walkways and public areas, including emergency exits, are to remain clear at all times.
It is the hirer’s responsibility to operate any AV/IT equipment during an event. If assistance is required, note that all technical issues need to be referred to the Audio Visual support team on 8201 2345 (option 1) between 8am – 5.30pm Monday to Friday.
If you would like to arrange a test-run of AV equipment prior to your event, please email concierge.services@flinders.edu.au to organise an appointment. Victoria Square staff will not take responsibility if presentations are not displaying properly if they have not been tested prior to the event.
Under no circumstances should AV equipment be moved from the room. If equipment is faulty, damaged or missing please advise us by emailing concierge.services@flinders.edu.au

Security is on site from 4.00pm to 9pm Monday to Friday and some Saturdays 10am to 10pm.
The air-conditioning is set at a level by building maintenance and it is not controlled by Victoria Square staff.
Printing is available on levels 1, 2, 6 and 11 at no cost for Flinders staff. Please contact IDS on x12345 regarding printer installation.
All events booked at Victoria Square are listed on the digital signage located on the ground floor, and levels 1, 2, 10 and 11.

Flinders Victoria Square reserves the right to relocate any event to an alternative room, or to cancel any booking at any time if it disrupts the University's core business of teaching.

The Concierge will arrange requested room set-ups for managed spaces. Please note: all spaces at Victoria Square are managed.
At the conclusion of your event, please ensure the room is clean and tidy in preparation for the next user.
